Item numbers: Void vs. Delete

Every piece in the inventory gets a permanent number. Once a piece has a sticker on it, its number has to stay on record, even if the piece drops out of the move. That's what Void is for. Delete is only for a mistake that was never stickered. Choosing the wrong one on a signed legal inventory is a real problem, so this article draws the line clearly.

How numbers are assigned

• Each physical piece gets one permanent number when it's imported or first saved. One piece, one number.
• Numbers are never renumbered once assigned. Voided lines keep their numbers, and the next new piece always takes a number past the highest one used so far, so voided numbers are never reused.
• Before a number is assigned, a line shows a dash (—) instead.

Void: retire a stickered piece, keep its number

Void a piece when it already has a sticker on it but shouldn't move, for example a damaged tag, a piece pulled from the shipment, or a duplicate that was already tagged. Voiding keeps the number on the inventory as a retired line, so the numbering stays continuous and the record stays honest.

1. Open the item.

2. Scroll to the bottom and tap Void item.

3. Confirm or edit the reason. The reason defaults to Damaged tag.

4. Tap Void.

The confirmation reads:

Void item [number]? The number stays on the inventory as a voided line and is never reused. This doesn't delete the record.

A voided line stays visible, struck through and marked VOID, and its number stays in sequence. It drops out of the live cube and weight totals. On the floor plan, a voided piece no longer shows a numbered badge, because its number is retired.

Delete: erase a never-stickered mistake

Delete a line only when it was never stickered, for example a mishear during a walk-through or a duplicate you added by accident. Delete removes the line and its photos, and its number may later be reused.

1. Open the item.

2. Scroll to the bottom and tap Delete item.

3. Tap Delete to confirm.

The confirmation reads:

Delete item [number]? This permanently removes the line and its photos from the inventory, and its number may be reused. If the item is already stickered, use Void instead — that keeps its number on record.

Important: Delete is permanent and takes the item's photos with it. If there is any chance the piece was stickered, Void it instead.
