Finalize and sign

Capture the customer's signature to finalize the inventory. Signing locks the job read-only, so it can't be edited afterward.

Finalizing captures the customer's signature and locks the inventory. A signed inventory is an official legal record, so once it's signed the job becomes read-only and can't be edited. Finalize only when the inventory is complete and the customer is ready to sign.

Who this is for: The crew closing out an inventory on-site. Important: Signing can't be undone in the app. Make sure the inventory is right first, including all pre-existing damage.

Before you sign

  • The inventory must have at least one item. Finalize & sign is disabled on an empty job.
  • Double-check pre-existing damage. An un-noted scratch becomes a claim at delivery, and you can't edit after signing.
  • Consider running Clean up names first, since it's also unavailable once the job is locked.

How to finalize

  1. Open the job.

  2. Tap the options menu (the ••• button, top right).

  3. Tap Finalize & sign.

  4. Type the customer's name in Customer name.

  5. Have the customer sign on the pad (a Customer signs here guide shows until they start). Tap Clear to redo the signature if needed.

  6. Tap Finalize.

  7. Confirm on the prompt:

    Lock this inventory? This finalizes the inventory with [name]'s signature. The job can't be edited afterward.

    Tap Sign & lock to finish, or Keep editing to go back.

Result: The inventory is signed and locked. A banner appears at the top of the job reading Finalized — locked, with "This inventory has been signed and can't be edited." (or "Signed by [name]. This inventory can't be edited." when a signer name is on record).

What you can and can't do after signing

You can still:

  • View the whole inventory, room by room.
  • Export the inventory PDF (the signature prints on it). See Export the inventory PDF.
  • Open the floor plan and view items (view-only, no editing). See The 3D floor plan.

You can't:

  • Add, edit, void, or delete items.
  • Add or delete rooms.
  • Edit the job, clean up names, or re-sign.

If you try to change a locked inventory, the app stops it and explains: "This inventory is signed and locked. Changes after signature need a new document."

Good to know

  • The signature is part of the record. It's stored and printed on the exported inventory's customer signature line.
  • Locking is enforced end to end. The lock isn't just a screen rule; the backend enforces it too, so a signed inventory stays fixed everywhere.
