The Item Editor, field by field
A full tour of the Item Editor: item number, name, category, packed-by, placement, handling symbols, valuation, photos, and the size/weight drawer.
The Item Editor is where one inventory item becomes a complete condition report for a single physical piece. Every capture method eventually lands here. This article walks through every field. The screen adapts to what the item is: a box leads with who packed it, while furniture and other goods lead with the thing that matters most on a legal inventory, pre-existing damage.
Who this is for: Crew and estimators. Open it by: tapping an existing item, choosing Custom from the catalog, or tapping Add item and then Custom.
Identity: number, name, category
At the top of every item:
- Item number — read-only. Once assigned it shows the permanent number; before that it reads Assigned on save. Each physical piece gets one permanent number, assigned at save and never reused. There is no quantity field: one item is one piece. To retire a stickered piece later, void it rather than delete it. See Item numbers: Void vs. Delete.
- Item name — required. Save is disabled while the name is empty.
- Category — required. One of Furniture, Appliance, Electronics, Bedroom, Kitchen, Decor, Outdoor, Boxes, or Other. The category drives the weight calculation, so it's worth getting right. See Categories & how weight is estimated.
Packed by (boxes only)
For items in the Boxes category, a Packed by card appears with a CP / PBO selector. Its footnote reads: "CP = carrier packed · PBO = packed by owner." This card does not appear for furniture or other goods. See Boxes & cartons.
Pre-existing damage
For goods, the damage card sits right below the identity card, front and center, because an un-noted defect at origin becomes a claim at delivery. Its footnote reads: "Noted at origin. Pick where the damage is and what it is — that's one condition ("Top, Corners: Scratched, Chipped"). Tap New condition to start another. Tap × on a line to remove it."
You build a condition in two steps: pick every spot that shares the damage (tap a location again to mark it plural, like both arms or all drawers), then tap the damage codes. Every recorded condition prints as one line. Cartons use a simpler version of this card with no location axis. This is covered in full in How damage codes work and Building a condition line.
Photos & damage
The Photos & damage card holds the item's photos, your claim documentation. Tap Take photo (when a camera is available) or Choose photo to add one.
If your company has AI photo analysis on, new photos are checked for pre-existing damage and you review every suggestion before it's added (the footnote says so). You can also tap Analyze all photos for damage to check them all at once. With AI off, "Photos are saved as documentation. Turn on AI photo analysis in Settings to get damage suggestions." Each photo row shows its AI finding, "No visible damage," or "Not analyzed," with a menu to analyze, re-analyze, or delete it.
Note: Brand-new items must be saved before photos can attach, so the photo card appears once the item exists.
Item details (goods)
For goods, the secondary fields tuck behind a toggle labeled Item details — room, size, weight, value. Tap it to reveal Placement, Handling, Valuation, and the size drawer; tap Hide item details to collapse them. (Boxes show these sections directly, without the toggle.)
Placement
The Placement card has a Room picker. Choose any room in the job, or Unassigned to leave the item out of a room. This is how you move an item between rooms after it's created. See Rooms: add, rename & delete.
Handling
The Handling card tags how the item is handled or flagged, with chips for Priority, DBO, Third Party Serviced (TPS), High Value (HV), and Crate. Its footnote: "Tag how the item is handled or flagged — High Value, Crate, Third Party Serviced, and so on."
Valuation
The Valuation card lets you set a Declared value (in dollars). Once the declared value is above zero, a Mark as High Value (HV) button appears so the item is called out on the inventory. Its footnote: "Set a declared value for high-value items, then flag them HV so they're called out on the inventory." (For boxes, valuation lives inside the size drawer instead.)
Size, weight & details (the drawer)
At the bottom is a collapsible drawer, Size, weight & details for goods (or Size, weight & value for boxes). These fields arrive pre-filled from the catalog or scan and are rarely touched, so they're tucked away. Inside:

Cubic feet — the item's cube. This is the durable source of truth for size. Editing it re-derives weight (unless you've set weight by hand).

Weight — in pounds. By default it shows an auto badge and derives from cube × the category's density. Type a weight by hand and it becomes a manual override that cube changes no longer touch; an Auto button appears so you can tap it to resume auto-deriving. A footnote explains the current state, for example: "Measured from a LiDAR scan. Weight is cube × 7 lbs/ft³ for this category." or "Weight set by hand. Tap Auto to derive it from cube again (7 lbs/ft³ for this category)."

Source — where the size came from: Scanned, Catalog, Photo (est.), or Manual. This drives the weight footnote's wording.
Note: The manual-weight override is remembered with the item, so reopening it, or a bulk name cleanup, won't quietly overwrite a weight you typed. Cube stays the durable source of truth for size.
Saving, voiding, deleting
- Save commits your changes (disabled while the name is blank).
- Void item (on saved items) retires a stickered piece while keeping its number in sequence. You're asked for a reason (default "Damaged tag").
- Delete item (on saved items) is the mistake eraser, for a mishear or a duplicate that was never stickered. It removes the line and its photos permanently.
