Paper size and condition photos
Choose US Letter or A4 for the exported inventory, and decide whether condition photos are attached to it.
Two export options control how the finished inventory PDF is laid out: the paper size and whether condition photos are attached. Both are set once and apply to every export from your workspace.
Who this is for: Admins. Both controls live under Settings › Inventory document, and only admins can see or change them. Other roles won't see them.
Before you start
- You must be an admin. If the Paper size picker and Attach condition photos toggle don't appear in your Inventory document section, you're not an admin. See Team members and roles.
Set the paper size
- Open the Settings tab and find the Inventory document section.
- Tap the Paper size picker and choose one:
- US Letter (the default) — 8.5 × 11 inches.
- A4 — 210 × 297 mm.
- The choice saves right away. There's no separate Save button.
Note: Van Line Pro is built for domestic US moves, so US Letter is the default. Change to A4 only if you specifically need that page size.
Turn condition photos on or off
The Attach condition photos toggle controls whether the photos your crew takes of pre-existing damage are included in the exported inventory.
- On (the default): condition photos are attached to the inventory PDF, so the document shows the damage it describes.
- Off: the inventory prints without the attached photos. The condition codes and notes still print.
The toggle saves the moment you flip it.
Important: The exported inventory is an official legal record. Attaching condition photos gives every noted pre-existing defect a visual backup, which is the strongest protection against a later damage claim. Leave this on unless you have a specific reason not to. See Record pre-existing damage.
Good to know
- Both settings are company-wide. They apply to every crew member's exports and sync across the workspace.
- They apply at export time. Changing them affects the next inventory you export, not documents already sent.
