Team members and roles
See who's in your workspace, understand the four roles, and share the crew code so teammates can join.
Your workspace is shared by everyone at your company. The Team roster in Settings shows who's in it, each person's role sets what they can do, and the crew code is how new teammates join.
The Team roster
Open the Settings tab and find the Team section. It lists every member of your company with their name and role. Your own row is marked You. A member whose name isn't filled in yet shows as Name not set.
The four roles
Every member has one role. Roles come from how the account joined the company: the person who creates the company becomes its Admin.
| Role | What it's for |
|---|---|
| Admin | Runs the workspace. Sets branding, document details, export options, and the AI toggle, and shares the crew code. |
| Crew | Field crew capturing inventory on-site. |
| Estimator | Builds estimates and inventory. |
| Office | Office / back-office staff. |
Note: Every role can capture inventory, run jobs, and set their own per-device inventory defaults. What admins can do that others can't is the company-wide setup below.
What only admins can do
These company-wide controls are hidden from Crew, Estimator, and Office roles. Only an admin sees and changes them:
- Company Branding — the logo that prints on every export. See Add your company logo.
- Document Details — address, phone, license, USDOT, header and footer text. See Company document details.
- Paper size and Attach condition photos — export layout options. See Paper size and condition photos.
- AI photo analysis — the "Analyze item photos for damage" toggle. See AI photo analysis.
If a teammate says one of these settings is missing, it's because they aren't an admin.
Share the crew code so teammates can join
New teammates join your company with the crew code. It's an 8-character code, and only an admin can see it.
-
As an admin, open the Settings tab and find the Workspace section.
-
Tap the Crew code row to copy it. The icon turns to a checkmark to confirm it copied.
-
The footer reads: "Share the crew code so teammates can join this company." Send the code to your teammate.
-
Your teammate creates their account, then on the setup screen chooses Join with code, enters the crew code, and taps Join company.
Result: The teammate joins your workspace and appears in your Team roster.
Important: Anyone with the crew code can join your workspace and see your jobs and inventory. Share it only with your own team, and only through a channel you trust.
Good to know
- The Team roster loads live. If it's still loading you'll briefly see "Loading crew…".
- How roles are assigned. Whoever creates the company becomes its Admin. Anyone who joins with the crew code joins as Crew.
