AI photo analysis
Turn on cloud AI so item photos suggest pre-existing damage, item names, and carton counts. Off by default; the crew confirms everything.
Van Line Pro can use a cloud AI service to read your photos and suggest pre-existing damage, cleaner item names, and carton counts. It's off by default. When it's on, the crew still reviews and confirms every suggestion before anything lands on the inventory.
Who this is for: Admins. The toggle lives under Settings › AI photo analysis, and only admins can see or change it. Other roles won't see it.
Before you start
- You must be an admin. If you don't see the AI photo analysis section in Settings, you're not an admin. See Team members and roles.
- It's a company-wide choice. The toggle applies to everyone in your workspace, not just your device.
Turn it on or off
- Open the Settings tab and find the AI photo analysis section.
- Flip the Analyze item photos for damage toggle. It saves immediately.
The section footer states, verbatim:
"When on, item photos are sent to a cloud AI service (Anthropic) to suggest pre-existing damage. Crew always review and confirm before anything is added. Leave off to keep all photos on-device only."
What turning it on enables
With Analyze item photos for damage on, the app can:
- Suggest pre-existing damage from an item's photos. The app looks at all of an item's photos together and proposes a deduped list of defects (location and condition codes) for the crew to review.
- Draft items from a whole-room photo. Photograph a room and the AI suggests a starting list of items with categories and cube estimates.
- Refine a LiDAR scan. After a scan, the AI uses the camera frames to give each measured object a precise name, category, and any visible damage. The measured size always stays on the device, from LiDAR, not from AI.
- Estimate cartons for a pile. Flag a pile of loose goods and the AI suggests how many cartons it takes, using only the carton sizes the app actually stocks.
Important: The AI only ever suggests. It never writes damage, an item, or a carton onto the inventory on its own. The crew reviews and confirms every suggestion first. What "off" means
With the toggle off:
- No photos are sent anywhere. Everything stays on the device.
- The app falls back to its on-device, offline behavior. You still capture items, take condition photos, and code damage by hand. The cloud suggestions above are simply not offered.
Leave it off if your company's policy is to keep all photos on-device only.
Good to know
- Where photos go. When the toggle is on, item photos are sent to a cloud AI service (Anthropic) for analysis. The footer says so plainly. Tell your crew, and keep it off if that's not acceptable for your work.
- The crew is always the last word. No suggestion is committed automatically, on any of the AI paths.
- It's a per-company setting. One admin's choice governs the whole workspace.
Common mistakes
- Assuming the AI records damage. It doesn't. If a suggested defect isn't confirmed by the crew, it never reaches the inventory.
- Turning it on without telling the crew photos leave the device. Make sure your team knows photos are sent to a cloud service when it's on.
